Office Manager
As an Office Manager, you will be the right hand of the partners of a growing marketing agency and the fixed point of contact in the office. You ensure that they can focus on clients, growth, and strategy. Questions, files, and follow-ups go through you. You prepare, present, and follow up until something is effectively completed. The partners make the decisions, and you ensure they can do so quickly and well-informed.
What you do
Reception and office.
- You answer the phone and connect calls or handle them yourself.
- You receive visitors and accept packages and deliveries.
- You are present in the office, so there is always a point of contact.
Mailbox and communication.
- You manage the partners' mailboxes: you sort, answer what you can, and forward what requires a decision.
- You ensure that nothing is left undone and that every question reaches the right person.
Preparing questions and decisions.
- You collect questions from the team and external parties that require a decision from the partners.
- You prepare them so that the partners can decide quickly, and you communicate the decision back.
- You keep track of what has been decided and what is still open.
Follow-up.
- You request information and quotes from suppliers and partners.
- You follow up to ensure that assigned tasks are effectively completed.
- You participate in partner meetings and follow up on agreed actions.
Administration and files.
- You manage insurance files.
- You retrieve and organize documents, such as powers of attorney, articles of association, and tender documents.
- You take over administrative tasks, including HR-related administration, such as onboarding and offboarding.
What they ask
- You are organized and maintain an overview of many small things simultaneously.
- You are flexible and step in where needed, even if unplanned.
- You follow up without being asked and complete tasks.
- You communicate clearly and smoothly, by phone and email.
- You are discreet: you work with mailboxes, contracts, and HR files.
- You are strong enough to sit at the table during partner meetings and take on follow-up actions.
- Starters with the right attitude are welcome. Experience in an office or assistant function is a plus.
Practical
- A role close to the partners, with insight into how a growing agency and a group of four brands operate.
- Remuneration and extra-legal benefits in line with the market.
