Executive Secretary

You are the indispensable link at the heart of a government organization. With your proactive attitude and keen insight, you support the board. You are the linchpin, ensuring that everything runs smoothly, even when busy or when plans change. You know what is important and what can wait. You work closely with the board and act as a buffer between the internal organization and the outside world. You will join the executive secretariat, part of the Corporate Advisory department.

This department works on strategic issues such as municipal policy, public affairs, and the board's lobbying agenda. As an executive secretary, you support the college of mayor and aldermen. Together with your colleagues, you ensure a smoothly running organization and a well-informed board. In the team, we not only support the board but also each other. In case of illness or absence, we step in where necessary.

This requires some flexibility in working days but also creates a close-knit and reliable team you can count on.

What you will do.

  • Manage agendas and set priorities based on content and (political)-administrative relationships
  • Handle confidential correspondence and quickly adapt to changing schedules
  • Prepare the weekly directors' meeting, ensure the timely submission of documents, and prepare the agenda
  • Be the first point of contact for colleagues and external relations
  • Organize meetings and events and ensure a welcoming reception
  • Monitor the progress of agreements and arrange transport, dinners
  • Identify bottlenecks in planning, plan ahead, and ensure necessary information is available in time

You are decisive, assertive, and have a healthy dose of humor. You can put things into perspective well and easily switch between different interests. You are careful with confidential information and have a sense of administrative relationships. You are the indispensable link at the heart of the organization. With your proactive attitude and keen insight, you support the board and ensure that everything runs smoothly, even when busy or when plans change.

What they ask

  • Minimum of a completed MBO secretarial education such as executive secretary, management assistant, or office management
  • Minimum of 5 years of experience as an executive secretary
  • Demonstrable experience as an executive secretary within a political-administrative environment, gained within a government organization
  • Agreement with the stated secondment conditions

Preferences.

  • Preferably more than 10 years of experience as an executive secretary in a government organization
  • Preferably demonstrable experience with the secretarial support of an executive within a municipal organization, such as an alderman or mayor
