Administrative Assistant in Digestive Oncology

You will support an academic team within a medical domain. You provide administrative support to researchers and study coordinators, and assist with the practical organization and documentation of academic studies.
What you do
- Manage, structure, and keep up-to-date the Sponsor Master File and Investigator Site File for academic clinical studies (digital and paper)
- Systematically monitor completeness, validity, and version control of study documentation
- Coordinate administrative document flows between researchers, study coordinators, and internal and external stakeholders
- Prepare and make documentation accessible for audits and inspections from a sponsor perspective
- First point of contact for practical and administrative questions within the research team
- Provide administrative support for orders, invoices, contract, and budget follow-up
- Provide administrative support for ongoing dossier follow-up with ethical committees and competent authorities, including drafting, formatting, and finalizing documents
- Manage and update administrative overview lists, trackers
- Administratively follow up on collaborations with student workers and temporary employees
- Administratively request biological study material (e.g., tissue samples) from external hospitals and partners
- Coordinate and administratively follow up on the receipt, shipment, and transfer of study samples
- Maintain administrative contacts with pathology departments, biobanks, and logistics partners
- Maintain registrations and overview lists of sent and received study samples in accordance with study-specific procedures and applicable regulations
What they ask
- Bachelor's degree, preferably in an administrative, scientific, or health-related field
- Good knowledge of medical terminology
- Good knowledge of common IT applications (Word, Excel, PowerPoint)
- Good knowledge of Dutch, French, English
- Interest in clinical research and academic studies
- Excellent relational and communication skills
- Flexible and easily adaptable to changing priorities, deadlines, and study needs
- Strong organizational skills with attention to detail
- Competencies to work both independently and in a team
- Experience in clinical research and study documentation (TMF/ISF) is a plus
