Executive Assistant to the Provincial Executive

As an executive assistant, you are the smart and strong force behind the scenes, ensuring everything runs smoothly. You support the deputy in a professional and integral manner and ensure a strong connection between internal and external relationships.

What you do

  • You will be linked to multiple deputies of a governmental organization, with the goal of fully unburdening them.
  • You work closely with two other colleagues in your cluster to collectively ensure everything runs smoothly, allowing the deputies to fully focus on content.
  • You manage agendas and mailboxes and monitor priorities.
  • You act as a buffer, ensuring the deputy is not burdened with unnecessary information or disruptions.
  • Your insight into sensitivities in ongoing dossiers is crucial.
  • You assess which matters require immediate action and which can wait, with an eye for sensitive dossiers and political-administrative relations.
  • You ensure a clear structure in appointments, documents, and communication.
  • You plan and prepare meetings and work visits, and keep an overview of progress.
  • You arrange everything down to the last detail, from documents to facilities.
  • You receive visitors at the organization's location.
  • You play a connecting role between internal teams and external parties such as ministries, municipalities, organizations, and citizens.
  • You switch smoothly between all levels, work diligently, and handle confidential information well.
  • You are responsible for keeping systems up-to-date, such as a document management system (IDMS), meeting document application (iBabs), VIP ride planning system (RPV), and Topdesk for visitor registration and facility requests.
  • You independently draw up decision lists, monitor their follow-up, and proactively inform colleagues.
  • You serve as a backup for other executive assistants, if necessary, to ensure continuity.

  • Strong organizational talent to effectively support the staff team.
  • Knows what is happening in the workplace and does not shy away from challenges.
  • Gathers necessary information to proactively come up with good solutions and improvement proposals.
  • Can handle work pressure well, sets priorities, and seeks solutions.
  • Can easily maintain an overview of various tasks and enjoys variety.

What they ask

  • Minimum of HBO (higher professional education) working and thinking level.
  • Minimum of 5 years of experience in a similar role within a complex organization.
  • Strong communicative and social skills, with an understanding of political-administrative relations.
  • Excellent command of the Dutch language, both written and spoken.
  • Knowledge of Microsoft Office 365 and proficiency in working with other systems.
  • A flexible working attitude, as your workday may sometimes start early and/or end late.

Practical

  • Salary level: Salary scale 9.
  • Monthly salary excluding IKB: min. € 3,560 - max. € 5,008.
  • Annual salary including IKB: min. € 52,284 - max. € 73,547.
  • An annual salary increase of 3% until the end of your scale.
  • Temporary employment contract with the prospect of a permanent contract.
  • An Individual Choice Budget (IKB) worth 22.37% on top of your salary. This can be used for extra free time, study, or a higher salary.
  • The possibility to properly set up your home workspace (desk, monitor, and other facilities).
  • A personal budget for sustainable employability of € 6,000 every 5 years.
  • Access to internal training offerings via the Leerplein.
  • The flexibility to organize your workweek, partly from home and partly at the office.
  • A full-time workweek is 36 hours, with the option to work up to 40 hours in consultation and accrue extra leave weekly.
