A public organization is undergoing a development process focused on information-driven work. The Information & ICT (I&ICT) department is working on an ambitious development agenda that requires advanced ICT technology and development. The Information Provision (IP) team is one of two teams within I&ICT and consists of sub-teams for information management, information governance, and functional management.
There is a lot of movement within the IP team, with a growing importance for mature Information Governance, Information Management, and Functional Management. A program with many sub-projects is underway, and the foundation needs to be established. The team is working to gain control over roles, workload, and operational processes.
What you will do. Within the organization, departments such as HR, Finance, and Procurement make intensive use of AFAS software. The AFAS functional management team experiences a high volume of tickets and change requests. The AFAS setup has become increasingly complex over the years due to changes and customizations. This leads to insufficient insight into the coherence and consequences of changes. The functional management team lacks sufficient capacity to integrally analyze and optimize the current setup.
There is a significant list of desired functionalities from HR, Finance, and Procurement. You will, together with the functional management team and key users, map, analyze, and translate the current AFAS setup into a clear and future-proof configuration, finding an optimal balance between setup/customization and available modules. The assignment focuses specifically on:
- Inventorying a significant number of workflows and associated tasks, signals
- Analyzing outstanding wishes (both mature and nascent) from the HR, Finance, and Procurement domains
- Providing insight into coherence, dependencies
- Identifying duplicate, outdated, or unnecessarily complex configurations
- Advising on simplification and improvement of the setup in collaboration with the information manager, information architect, and a user sounding board group
- Compiling, in collaboration with the architect, a practical and unambiguous setup document including a Project Start Architecture (PSA)
- Drawing up a global plan/roadmap for a redesign
- Transferring and documenting knowledge and findings to the functional management team and information management
Result.
- Advisory document on the further development of the ERP suite, including points of attention for its future tender
- Setup document including a Project Start Architecture (PSA) as a basis for future management
- Development plan/roadmap for the integrated HR, Finance, and Procurement functionalities
- Documented PSA, SOLL processes, workflows, etc., in the designated tooling
- Transfer document for the functional management team and information management
Profile
You are an experienced consultant familiar with AFAS, with a broad perspective as an HR/Finance/Procurement suite consultant. You are an analytical expert who is independent and can think from a business value perspective.
