Management Assistant

What you do

In this role, you perform coordinating and management support activities for a director and the head of a staff department within a directorate. Through your substantive involvement, you know what is going on and can set priorities and respond to developments. You are adept at complex and dynamic agenda management. You like to think along and look ahead, identify bottlenecks in time and solve them, so that the directorate can focus on its mission to provide the best equipment and IT for the organization.

The most common activities are:

  • Complex and dynamic agenda management
  • Ensuring that the directorate has the necessary information for appointments in time (working with iBabs)
  • Support with director's mail handling and processing mail in XPostWeb
  • Managing the directorate secretariat mailbox
  • Receiving and guiding visitors
  • Planning and organizing meetings and gatherings
  • Requesting VIP transport and arranging domestic and international business trips
  • Providing courtesies and coordinating actions for, among other things, anniversaries
  • Support for events
  • Handling various questions and requests.

You contribute to internal and external communication by:

  • Co-filling and deploying the publication systems and instruments to be used by the directorate
  • Supporting the organization of lectures and events/seminars
  • Supporting visits from delegations and hosting international working groups
  • Acting as the first point of contact for the staff for external (telephone) contacts.

What they ask

  • MBO (vocational education) working and thinking level
  • Completed MBO education in secretarial, administrative, or business administration or a comparable combination of education and experience
  • Minimum of 3 to 5 years of experience in management support functions
  • Minimum of 2 to 4 years of experience in support functions in the field of innovation and project management in a public sector environment.

You switch quickly and move effortlessly in an environment that is constantly changing. You keep a cool head during changes and know how to set the right priorities. At the same time, you are meticulous in your work and ensure that things are perfectly in order. You feel at home in a supporting role and enjoy working with various colleagues and external parties. You communicate clearly and professionally and know how to convey information clearly, even when different interests are at play.

  • To be eligible for this position, you must come from a country within the European Economic Area. If this is not the case, you must have a combined permit for residence and work (GVVA).
