An organization dedicated to the interests of refugee students and professionals in the Netherlands is facing a significant relocation of its head office. An independent Relocation Coordinator is sought to bring structure, calm, and overview to this dynamic process. You will work under the direction of the Operations Manager and interact daily with internal departments (ICT, Facilities, Communication) and external suppliers. You will be the central point ensuring everything is ready on time.
What you will do.
- Project group and planning
- Drafting the project plan.
- Setting up the project group and chairing the bi-weekly project meeting.
- Monitoring progress, deadlines, and coherence.
- Being responsible for overall planning and internal coordination.
- Relocation preparation
- Creating detailed relocation schedules.
- Inventorying departmental needs.
- Maintaining an up-to-date overview of actions, responsibilities, and logistics.
- Coordination and execution
- Daily management of relocation activities.
- Monitoring agreements and deadlines.
- Coordinating between internal teams and suppliers.
- Organizing and supervising relocation days and the commissioning of the new location.
- Communication and support
- Being the first point of contact for employees.
- Organizing information sessions and consultation moments.
- Creating support and engagement within the organization.
- Suppliers and contract management
- Maintaining contact with moving companies and suppliers.
- Checking agreements and execution.
- Timely signaling bottlenecks.
- Delivery and aftercare
- Supporting the delivery of the current location.
- Coordinating remaining issues after the relocation.
- Ensuring a complete and tidy completion.
Profile
- Independent professional with MBO+ work and thinking level.
- Minimum of 3 years of experience in a coordinating, facility, or logistics role.
- Experience with project support.
- Digitally skilled (Microsoft 365).
- Able to maintain an overview in a dynamic process.
- Experience within a social or non-profit organization is a pre.
