Secretary Process Supporter

This role is within a regional expert team that supports young people and families with complex or stalled care needs. The team brings together involved parties, helps break down barriers, and works towards a sustainable perspective. Additionally, the team contributes to the development of a learning youth care system by discussing cases and identifying bottlenecks.

What you will do. As a secretary/process supporter, you will ensure that the expert team can function well-prepared, diligently, and effectively. You will support the chair and the present experts by ensuring that relevant information and perspectives are available for discussion, and you will carefully record the main considerations, agreements, and action points. You will ensure that young people and parents are actively involved in the discussion of their care needs.

  • Organizes and prepares expert team meetings, both administratively and substantively.
  • Gathers and organizes information on registered cases, identifies missing or conflicting information, and ensures a carefully prepared dossier for discussion.
  • Maps out the request for help, the reason for registration, involved professionals, and steps already taken.
  • Supports the chair in preparing complex issues.
  • Ensures relevant information and perspectives are available in time for consultation.
  • Coordinates with involved professionals, municipalities, and care organizations.
  • Monitors the planning and progress of cases.
  • Provides minutes of case discussions, carefully records decisions, agreements, and action points, and monitors their follow-up.
  • Maintains contact with referrers, involved professionals, parents, and young people about the process.
  • Supports the registration of cases in a national monitor.
  • Gathers, registers, and bundles insights from discussed cases to highlight recurring care needs and bottlenecks.
  • Supports evaluations and presentations.
  • Contributes to reports and information provision to collaboration partners and administrators.
  • Actively contributes to the further development of the team.

Profile

  • HBO (higher professional education) working and thinking level.
  • Experience with process support, case support, secretarial work, or a comparable function.
  • Affinity with youth care and complex care needs.
  • Excellent organizational and communication skills.
  • Analytical ability and the capacity to distinguish main and secondary issues.
  • Understanding of administrative relationships and collaboration within a network of municipalities and care partners.
  • An independent, proactive, and results-oriented work attitude.
  • Accuracy and reliability.
  • Ability to communicate carefully and connectively.
  • Sense of privacy, confidentiality, and careful information exchange.
  • Basic knowledge of the Youth Act and the youth care system.
  • Knowledge of the regional care landscape and the various parties and facilities involved.
  • Sufficient insight into related domains such as education, Wmo, mental health care, and safety.
