Management Assistant

The primary task is to support a director in their daily activities. Additionally, you will perform tasks for other directors and act as a backup for colleagues within the secretariat when necessary. The full secretariat consists of three employees who collectively support three directors. The position is full-time and can be performed over four days in consultation, with a preference for absence on Tuesdays.

What you will do.

  • Independently manage agenda planning, appointments, and service transport, ensuring agenda issues are anticipated and resolved.
  • Handle correspondence correctly via email and a document management system, maintaining an overview of the director's document flow.
  • Act as a 'buffer' to the internal organization and external environment, acting friendly and decisively, and ensuring correct procedures are followed.
  • Provide information of a general substantive and procedural nature, as well as administrative and organizational processes.
  • Receive and guide visitors and coordinate with internal and external stakeholders regarding appointments and planning.

  • MBO (intermediate vocational education) work and thinking level.
  • Relevant work experience as a management assistant or executive secretary.

Profile

  • Knowledge of management support methods and methodologies, secretarial management, and general secretarial-administrative procedures and regulations.
  • Proficiency in secretarial (administrative) management, coordinating complex information flows and processes, and weighing consequences, interests, and priorities.
  • Good command of programs such as Outlook, Excel, Word, and PowerPoint, and other standard office applications and (automation) systems used for internal business operations and project management.
  • Ability to act as a buffer to political-administrative and senior official levels with third parties, and to assess political and social reputational risks.
  • Good command of the Dutch language, both written and spoken.
  • Customer-oriented, stress-resistant, planning and organizing, organization-oriented, collaborative, integrity.
  • Ability to set priorities, work independently, neatly and accurately, be loyal and service-oriented.
  • Ability to work in an administratively and politically sensitive and complex dynamic environment.

Practical

  • A security screening is part of the selection procedure, for which Dutch nationality or a combined permit for residence and work (GVVA) is required.
  • An assessment may be part of the selection procedure.
