Administrative Assistant
An international youth organization annually organizes over 150 international school exchanges. This involves hosting participants in Belgium or sending them abroad for long stays (3 to 10 months), including schooling in the host country and accommodation with a local family. The organization has been a member for over 75 years of an international network recognized for the quality of its work.
It also relies on a network of volunteers, voluntarily committed to supporting exchange participants (families and young people). Within a team of about twelve employees, the administrative assistant supports the activities of the Experience Hub, which is responsible for participants being sent abroad and their families, as well as hosted participants and their host families, both before and during their stay. This temporary team reinforcement is due to a paternity leave absence.
What you do
Under the responsibility of the program director, your missions will be:
- Administrative follow-up of host families: management of future host family files, organization of volunteer visits to host families, confirmation of participant placements with host families, follow-up of various administrative requests from hosted participants (travel authorization, certificates, etc.)
- Follow-up of files, acceptance, and placements of hosted participants
- Administrative follow-up of files for participants being sent abroad

- You have experience and/or training in administrative file management.
- Knowledge of intercultural exchange programs is an asset.
- You work with great rigor and demonstrate strong organizational skills.
- You enjoy teamwork while being autonomous in your tasks.
- You have a fondness for human contact and strong relational skills with both adults and adolescents to build positive and trusting relationships with parents and participants.
- You are particularly comfortable with IT and able to quickly master new tools.
- You express yourself easily in French, both orally (C2) and in writing, and have good knowledge of English, both orally and in writing (B1 to B2).
- You have the right to work in Belgium.
