HR Onboarding Officer

What you will do.

  • Ensure that onboarding activities proceed carefully, timely, and smoothly.
  • Support processes with local variations and national rollout, with an emphasis on second-line support.
  • Work closely with managers, recruitment, HR, the offshore team, external partners, and future employees.
  • Be the substantive point of contact, make recommendations, and translate bottlenecks into improvement proposals for the HR Operations Lead.
  • Draft employment contracts and guide a correct signing process.
  • Coordinate the entire onboarding process, including outsourced background checks and registration with the immigration service.
  • Answer and resolve onboarding questions, with particular attention to country-specific topics, HR policy, and procedures around onboarding and offboarding.
  • Identify risks, monitor quality and lead times, and take appropriate action.
  • Record and follow up on questions and tasks in the SuccessFactors HR ticketing system.
  • Share local onboarding knowledge and support the Workplace Solutions Specialist team with individual onboarding and offboarding cases.
  • Develop process optimizations with the onboarding team and make practical recommendations to the HR Operations Lead.

Profile

  • Excellent communication skills and the ability to clearly explain processes and policies to people at different levels within the organization.
  • Experience with HR administration, HR systems such as SuccessFactors, and relevant software applications, plus a good command of Microsoft Excel and Microsoft Word.
  • The ability to organize multiple tasks, prioritize, and work accurately in a dynamic environment with changing priorities.
  • A customer-oriented, people-oriented, and solution-oriented approach, handling confidential and sensitive information discreetly.
  • Good verbal and written communication skills in Dutch and English.
  • Knowledge of HR policy and procedures or experience with onboarding is a plus.

Work environment. You will join a close-knit team of six colleagues, consisting of a team leader and a good mix of young and experienced professionals. You are part of the general onboarding team and work intensively with managers, recruitment, HR, the offshore team, the Workplace Solutions Specialist team, external partners, and future employees. Within this collaboration, you share local onboarding knowledge, discuss areas for improvement, and contribute to an efficient and reliable onboarding process.
