Reception and Administrative Assistant

As a reception and administrative assistant, you are the first point of contact for visitors to a community center. You welcome everyone with a smile and ensure people feel at home. You contribute to a vibrant and connecting meeting place for the local community, artists, and associations.
What you do
- Receive visitors at the reception desk, alternating with colleagues.
- Manage the general mailbox and phone of the community center in a customer-friendly manner.
- Answer visitors' questions or wishes and refer them to other organizations or services if necessary.
- Be at the reception desk in the evenings or weekends, a maximum of twice a month.
Planning and organization.
- Manage the activities and registrations of the community center in the appropriate software.
- Be the point of contact for room rentals: follow up on requests, register them in the planning, and draw up user agreements in collaboration with the center manager.
- Note questions or wishes from room users and pass them on to relevant colleagues (technical staff, room staff, concierge).
Administrative support.
- Handle part of the accounting administration and support the financial operations of the organization.
- Collect, process, and report administrative and financial data.
- Prepare official documents and reports.
- Copy, send, and classify documents, ensuring a structured archive.
- Monitor office supplies inventory and place orders.
Personnel administration.
- Report absences to the HR department of a public organization.
- Provide support for personnel administration and management.
Versatility.
- Step in when colleagues are absent or when extra help is needed.
- Assist with activities (receptions, neighborhood parties, performances), sometimes in the evenings or weekends.
Profile
- Maximum a secondary education diploma.
- Interest in the functioning of a community center and willingness to get to know the local network.
- Work independently and solution-oriented.
What they ask
- Knowledge of Dutch (minimum B1 level).
- Digitally skilled and willing to learn new software.
- Good knowledge of Office 365 (Outlook, Excel, Word, Teams).
- Eligible for Geco status.
Preferences.
- Knowledge of French, English, and possibly other languages.
