Executive Assistant
You will be part of the executive secretariat and responsible for the secretarial and administrative support of the board and the municipal secretary of a government organization. From this position, you will work closely with board members, management, and internal organizational units. Your primary focus will be supporting two aldermen, playing an important role in coordinating between the board, the organization, and external relations.
What you do
- Manage complex agendas for the aldermen, prioritizing based on substantive, administrative, and political interests
- Handle confidential correspondence and proactively respond to changes in agendas, meetings, and administrative agreements
- Support the aldermen in daily administrative processes by timely identifying urgencies, interests, and coherence within the portfolio
- Act as the first point of contact for internal and external contacts, ensuring a professional and hospitable reception for visitors and stakeholders
- Coordinate with colleagues, management, board members, and other organizational units to ensure smooth administrative processes
- Identify action points, plan activities in advance, and contribute to ongoing dossiers and administrative trajectories
- Organize and prepare meetings, distribute digital meeting documents, and monitor the progress of agreements and actions

- Minimum of an MBO-4 diploma in a secretarial, management support, or administrative field
- Minimum of 3 years demonstrable work experience as an executive assistant, director's assistant, or management assistant
- Demonstrable work experience with complex agenda management for one or more board members, directors
- Demonstrable work experience as an executive assistant, director's assistant, or management assistant within a political-administrative, governmental, or semi-public organization
Preferences.
- Minimum of 3 years demonstrable work experience as an executive assistant, director's assistant, or management assistant within a governmental or semi-public organization
- Demonstrable work experience managing complex agendas for board members or directors, involving conflicting interests, urgent requests, and shifting priorities
- Demonstrable work experience preparing, organizing, and monitoring administrative meetings, college meetings, committee meetings, or similar decision-making processes
- Demonstrable work experience in the past 5 years with Ibabs, Office 365
