Practice Coordinator

A therapeutic practice is looking for a new colleague who makes people feel at ease, enjoys organizing things, and ensures that appointments and administration are properly followed up. It is a varied role with plenty of room for personal initiative and coordination with the team.

What you do

  • Trusted point of contact for clients, parents, and the team.
  • Welcoming visitors, answering phones and emails, and following up on new registrations.
  • Handling practical questions independently; escalating care-related questions to the appropriate therapist.
  • Maintaining agendas and scheduling therapy rooms, coordinating changes when necessary.
  • Keeping client files up-to-date, preparing documents, following up on invoices and payments, and collecting accounting records.
  • Managing personnel administration (hours, leave, absences).
  • Maintaining contact with the social secretariat and handling practical/administrative matters when colleagues start or leave.
  • Being attentive to practice needs (ordering materials, solving practical problems, following up on appointments).
  • Contributing ideas for social media topics (Facebook, Instagram), creating simple posts/flyers, and supporting communication, with careful attention to privacy.

Profile

  • Finds satisfaction in well-organized matters.
  • Identifies what needs to be done, sets priorities, and completes tasks.
  • Requests information if needed, helps find solutions to problems, and raises concerns in a timely manner.
  • Works accurately and remains calm in busy situations.
  • Is friendly, a good listener, and clear in communication.
  • Handles confidential information discreetly.
  • Proficient with Word, Excel, and Outlook; open to learning new digital applications.
  • Not deterred by numbers and financial administration.
  • Writes clearly and correctly; experience with Canva and social media is a plus.
  • Possesses insight, can organize independently, and is eager to learn.
  • Experience in an administrative or coordinating role is a bonus.
  • Dares to ask questions, is open to feedback, and feels responsible for a well-functioning practice.
