Office Manager

As an Office Manager, you are the central point of contact and the connecting factor within a branch of a technology company. You ensure that the daily work environment is well-organized, welcoming, professional, and pleasant, and that employees feel seen, involved, and connected. The role goes beyond facility and administrative matters; you are the guardian of the culture and atmosphere at the branch.

You sense what is happening and stimulate connection between colleagues and departments, especially within an organization with many technically and content-specialized colleagues. You form the link between people, the organization, and the work environment.

What you will do. The Office Manager has six important areas of focus:

  • Culture, connection & employee satisfaction:
  • Safeguarding and strengthening the culture and atmosphere within the branch.
  • Acting as a connecting factor between colleagues, teams, and departments.
  • Ensuring an open, accessible, and welcoming work environment.
  • Paying attention to employees and contributing to a sense of involvement and connection.
  • Maintaining a positive and professional image of the branch.
  • Facility matters & property management:
  • Coordinating cleaning, property and garden maintenance, malfunctions, stock, and other facility matters.
  • Maintaining contact with suppliers, building management, and external parties.
  • Identifying bottlenecks and ensuring they are addressed in a timely manner.
  • Monitoring the quality of services and, where necessary, addressing suppliers on agreements made.
  • Managing and further professionalizing processes related to property management, key management, and facility services.
  • Office management & daily organization:
  • Ensuring the smooth running of office operations.
  • Coordinating, managing, and replenishing office and kitchen supplies.
  • Maintaining an up-to-date Office Management overview with processes, contacts, working methods, and important information.
  • Onboarding:
  • Coordinating the practical part of the onboarding of new employees (welcome card, bag/merchandise, keys).
  • Familiarizing new employees with the branch (in consultation with team leads) and ensuring a warm welcome.
  • Meetings, communication & internal connection:
  • Organizing and facilitating team outings and meetings.
  • Supporting internal activities and initiatives that contribute to connection and team spirit.
  • Providing internal communication regarding office matters, activities, and developments.
  • Serving as an accessible point of contact for employees with practical questions/issues and signals from the organization.
  • Maintaining contacts with departments and other branches.
  • Management support:
  • Supporting the management, planning, coordination, and structuring of a director's agenda.
  • Proactively identifying bottlenecks or conflicting appointments and independently proposing solutions.
  • Coordinating appointments with internal and external stakeholders.
  • Serving as the first point of contact for scheduling appointments with the director.
