Project Assistant Mobility

For a project within a government organization, a proactive and decisive Project Management Officer (PMO) is sought. You will be the right hand of the project manager and support the IPM team. You will contribute to project organization, finance, planning, communication, risk management, and administration. The project is strategic, complex, and sensitive. The exploration phase will run until summer 2027, followed by the planning phase.

This requires extensive internal and external contacts and consultation with various partners. The project has recently restarted and is in full swing. Experience is essential to quickly join the team.

What you will do. You will support various IPM role holders:

  • The project manager: ensuring overview, structure, and follow-up within the project organization. Organizing meetings, monitoring actions and deadlines, and supporting planning, information gathering, and internal advice.
  • The project control manager and the contract manager: supporting the monitoring of planning, finances, and project requirements. Managing project information in a management system and performing basic financial tasks, such as commitments and invoices.
  • The environmental manager: supporting the preparation, organization, and completion of information meetings and administrative and executive consultations. Arranging locations, planning, reporting, and communication, such as news messages and newsletters. If necessary, leading small assignments.

Daily tasks include:

  • Planning and coordination: preparing, planning, and taking minutes of team meetings, administrative and executive consultations, information meetings. Monitoring action points and supporting the maintenance of schedules, progress reports, and issue and risk logs.
  • Project and document management: coordinating the document flow. Drafting, managing, updating, and archiving project documentation, such as plans, status reports, risk registers, and final reports. Ensuring colleagues work with the correct versions. Managing project requirements in a management system.
  • Communication and information provision: providing project communication and acting as a point of contact and information provider for internal and external stakeholders.
  • Financial management: monitoring project expenditures, signaling budget deviations, and managing invoicing processes.

What they ask

  • Demonstrable HBO (higher professional education) working and thinking level.
  • Minimum of five years of work experience as a project assistant or PMO, preferably within the government with IPM projects and in the field of Mobility and Infrastructure.
  • Extensive experience with reporting on meetings (IPM, administrative, and executive consultations).
  • Several years of experience working with MS Office (Outlook, Word, Excel, MS-Teams, and Sharepoint, etc.).
  • Excellent communication skills, both verbal and written (excellent command of the Dutch language).
  • Flexibility: peak periods and information evenings sometimes require commitment outside office hours.

Preferences.

  • Experience with a management system such as Relatics and financial project control systems such as SAP.
