Administrative assistant administrative supporter reorganization
An experienced and meticulous administrative supporter is sought for a public educational institution to temporarily strengthen the HR project team during a major reorganization. The reorganization is in a crucial phase where large amounts of personnel information are processed and formal and confidential communication must be provided to employees.
The position requires someone who works with extreme care, independently and discreetly, and has extensive experience in processing large amounts of data and managing personnel communication where great care is required.
What you will do.
- Administratively prepare, generate, check, and process personnel letters and other correspondence at employee level
- Perform mail merges and merge operations, linking data from spreadsheets to letter templates in Microsoft Word
- Manage and check data files and mailing lists, and actively identify missing, duplicate, deviating, or incorrect data
- Carefully check the results of merge operations and, where necessary, correct data or signal deviations
- Carefully split and select individual employee letters from large merged files
- Prepare individual correspondence for dispatch and ensure correct administrative processing and inclusion in the appropriate personnel files
- Check whether the correct employee is linked to the correct letter and data
- Monitor the completeness, uniformity, and timeliness of correspondence
- Carefully administer and keep track of the progress and status of various communication moments
- Monitor deadlines and timely signal any bottlenecks
- Support the HR project team with other administrative tasks related to the reorganization

You check, compare, signal, and inquire when something is not right. You are careful, discreet, independent, and stress-resistant. You can handle confidential information well and understand the impact of communication on employees.
You like structure, control, and overview, and you enjoy working with large amounts of data and documents.
