Administrative Staff Manager

A public employment organization is looking for an Administrative Staff Manager (max level C) for a part-time replacement contract. The organization aims to:

  • Create, mobilize, and animate networks of local partners
  • Organize services and actions related to reception, guidance, orientation, training, job search, and prospecting for anyone seeking social and professional integration, with particular attention to vulnerable groups
  • Develop and support local development initiatives
  • Implement all necessary means to achieve its permanent education objectives

What you will do. General function description:

  • Record and process information related to administrative staff movements
  • Collect, classify, and analyze, as appropriate, numerical information (staff costs...) and information on social legislation, to optimize or plan management
  • Implement the necessary means to produce data summaries to assist the manager
  • Ensure information exchange and data verification related to employment contracts and guarantee the authenticity of transmitted documents and summaries
  • Be the administrative reference point for all employees engaged by the mission, regardless of their status and place of assignment

Tasks:

  • Welcome new employees and inform them about the work regulations, administrative procedures in force within the non-profit organization (leave requests, purchases...), and the existence of a union delegation
  • Introduce new people to the team and ensure the functionality of their workstation (to be organized with the service manager)
  • Establish, in conjunction with the Management, and monitor employment contracts in compliance with social legislation and the requirements of Public Authorities
  • Compile personal files for employees (identification, diploma...) and ensure these files are updated based on significant events that have occurred within the framework of contractualization
  • Salary management: establish monthly performance, follow up and process information for salary management (performance statements, meal vouchers, monthly subscriptions, verification of statements established by the social secretariat, follow-up of salary scale increments of the joint committee, legal travel...)
  • Leave and absence management: monitor leave taken and absences; implement counters for each employee
  • Prepare subsidy justification files: manage personnel files with regional public employment authorities and organizations involved in employee remuneration or costs
  • Regularly establish and adjust salary budgets

Profile

  • Diploma: CESS maximum
  • Proficiency in spoken and written French
  • Proficiency in Microsoft Office 365 suite (Excel, Word...)
  • Team spirit and a developed sense of collaboration
  • Demonstrate precision in data entry
  • Possess good communication skills
  • Demonstrate adaptability
  • Be capable of respecting the duty of discretion
  • Possess a logical mind

Practical

  • ACS contract as a replacement contract
  • Be domiciled in the Brussels Capital Region
  • Be registered as an unemployed job seeker with Actiris
  • Have at least 6 months of registration (calendar) as an unemployed job seeker or as a beneficiary of the right to social integration during the year preceding employment, or if 40 years or older, have at least 1 day of fully compensated unemployment
