Functional Administrator

A cultural institution is implementing a new collection management system. For one of its locations, an experienced functional administrator is sought to ensure a smooth transition, support users, and actively contribute to improving the quality of collection data. The organization is transitioning to the new collection management system. Temporary reinforcement is sought to play a key role in the implementation and hypercare phase of this system.

You will work closely with the central project organization, users within the location, and the supplier. You will be the first point of contact for functional issues, identify improvement opportunities, and help users make optimal use of the system.

What you do

As a Functional Administrator, you are responsible for supporting users, improving data quality, and guiding the organization during the implementation and post-implementation phase of the new system. You know how to translate user needs into concrete solutions and are able to implement improvements in collaboration with the supplier and the project organization. In addition, you ensure that the quality of collection data continuously improves.

You combine knowledge of collection management, information management, and functional administration with excellent communication skills.

Your activities include:

  • Acting as a liaison for the location; coordinating with the central project management;
  • Inventorying, analyzing, and prioritizing bottlenecks and user requirements;
  • Setting up, testing, and guiding import processes from an existing collection management system to the new system;
  • Performing data cleaning and large-scale search and replace actions;
  • Contributing to data enrichment and improvement of data quality;
  • Checking and optimizing links between DAM systems and the new system;
  • Supporting end-users with questions and incidents;
  • Preparing work instructions, manuals, and short user instructions;
  • Participating in the central core team during the hypercare phase;
  • Testing new functionalities and updates;
  • Identifying structural improvement points and translating them into concrete actions.

What they ask You are an independent professional who easily switches between users, project organization, and supplier. You are analytical, practical, and energized by solving complex data and system issues.

Profile

  • Minimum HBO (higher professional education) work and thinking level;
  • Demonstrable experience with functional administration;
  • Experience with collection management systems, preferably the new system, an existing collection management system, or Adlib;
  • Knowledge of data migrations, data quality, and data management;
  • Experience in guiding users during system changes;
  • Strong communication skills;
  • Experience within the heritage or museum sector is a strong plus.
